Security & data protection

What working with an EU vendor means for your data.

Handing code and access to an outside team raises two questions: what happens to your data, and what goes into the software. Here is both, plainly.

How we handle the engagement

  • We are an EU company, so the GDPR applies to us directly — not as a promise, but because we are subject to it.
  • Before work starts, we sign your NDA and, where we process personal data on your behalf, a data processing agreement (AVV, Art. 28 GDPR).
  • Nearshore, not offshore — your project is built from within the EU, and we can host code and data in an EU region (e.g. AWS Frankfurt) where you need it.

What we build in by default

  • Role-based access on a least-privilege basis (RBAC)
  • Encryption of sensitive data in transit and at rest
  • Secrets kept in a secrets manager, never in the codebase
  • Automated database backups

We do not hold ISO 27001 or SOC 2 — we are a small team and will not pretend otherwise. What we can do: answer your security questionnaire, walk your IT team through our setup, and put it in the contract.

?What does it cost?
Two models. Team extension is billed hourly. Projects are quoted as a fixed price for a defined scope — you get the exact number in writing after the discovery, before you commit to anything. Your pricing is then locked for the contract term.
?Aren't you too small a team?
You work directly with the engineers who build your system — no account-manager relay. They are employed here, not contractors booked per project, so whoever learns your system is who stays with it, and we scale the team from a deep Polish talent pool as your project needs. Our competence is public and verifiable: a delivered public-sector project and open-source work the wider industry relies on. If a project exceeds our capacity, the paid discovery tells you so in writing — before you commit.
?What happens if you disappear?
Repository access and documentation from day one. Intellectual-property transfer is defined in the contract; code escrow is available on request. And to be clear: we do not plan on disappearing — philosopht is built for the long run.
?How do you handle GDPR and data security?
We are an EU company, so the GDPR applies to us directly. Before work starts we sign your NDA and, where we process personal data on your behalf, a data processing agreement (AVV, Art. 28 GDPR). Every project ships with the same baseline by default: least-privilege access (RBAC), encryption of sensitive data in transit and at rest, secrets kept out of the codebase, and automated backups. Good — we don't need to replace anyone. We can join your existing team for one stream of work, or build a complementary system alongside your ERP with clearly defined boundaries.
?Why is the discovery paid?
Because you receive a usable result regardless of what happens next: a written scope, an initial architecture and a fixed quote — within max 5 working days. If we proceed to the project, the discovery fee is credited against it.
?Will the system run alongside our ERP/CRM?
Yes — we build systems that run alongside your ERP/CRM and connect through any available API (REST, GraphQL, SOAP). Where no API exists, we help design one. No rip-and-replace.
?Can we see progress during development?
Yes. Every two weeks you get a demo of the working app, a review of completed work and a plan for the next sprint — plus as many syncs or workshops as you want along the way.
?Will you raise the price once we depend on you?
No — your pricing is locked for the contract term. Adjustments can happen only at renewal, with 3 months' notice and a contractual cap linked to an objective index (consumer prices) — never an arbitrary number. You will never discover a price change after the fact.
